Safety Audit Database
The Drax Group employs over 700 people, most of whom work daily on an industrial site where safety awareness and training is of major importance. Around 50 designated and trained auditors make around 500 anonymous audits across the plant each month, highlighting and taking action on potential hazards whilst also praising and promoting good practice and safe working.
The current process for audit entry relied on a manual paper form which required laborious re-entry. The requirement was to bring the form into the web browser, making it accessible from anywhere across the plant (even on mobile devices where required) and making the process of form completion faster and easier for the auditors, giving them more time to focus on the quality of the form entry rather than the technology.
There was also a need to move away from a lot of manual spreadsheet manipulation in order to extract and format the statistics and analysis from the audit data and provide a more seamless and automated reporting and analysis capability
SharePoint InfoPath Safety Audit Form
Making full use of the recent SharePoint Server 2007 architecture which had been implemented, Rocket modeled the revised business process for safety audits into an InfoPath form which could be published to a dedicated SharePoint form libraries and completed through a browser and mobile applications as required.
The form handled the completion as a logical flow, auto-completing as much as possible (such as the user login) and cascading drop-downs to filter choices and make completion much faster and simpler.
On submit the form publishes a formatted copy to the SharePoint library for viewing via the SOS portal site and simultaneously the data is submitted to an SOS data mart from where SQL Analysis Services cubes enable powerful reporting and analytics via the SOS reports area of the portal.

Streamlined process
The time that auditors need to complete the audit forms has been greatly reduced, giving them more time to complete further audits and to track and action the results more closely. The forms being held a SharePoint library mean that they can be accessed, searched and retrieved within seconds. The database supports a full set of reports and analytics in the SOS portal

"We've rolled-out the new form to all of the auditors and everything has gone very smoothly with the new process right from the outset, we're not getting lots of calls and the feedback on the new form across the team has been really positive” |
